This lime green tab is located near the left side bottom of the Contacts file.
1. If the shipping address is different than the contact's address then enter Shipping Info. This information will appear on the Invoices file > Shipping Address side bar button. It will print on the invoice as well under Ship To. The information will also appear under the Shipping Address side bar button located on the Invoices file. Changes made here in the Contacts file will transfer to the Invoices file but not vice-versa.
2. You may assign a percentage Discount to each customer using a decimal format, .20 = 20%. Discount is used to record a % discount given to the customer and applied to all work orders and/or invoices. The discount entered in this field will be auto-filled in the work order when the customer is selected. On the invoice, the discount will display in the Discount box on the Line Item Entry screen only. It will not be automatically applied to any retail items on the invoice. If you use the Discount button, on the Line Item entry screen, the customer’s Discount will be pre-entered into the field on the dialog box, but can be changed before applying. To delete the entry, click in the field and press the backspace or Delete key. If the Contact is a Supplier, do not use this field for recording your buyer's discount, it will not show up in the work order. Use the discount field in the Price Codes file instead.
3. Terms > Net or Net/30 or Net/60 may be set up for this customer and will apply to any invoice. The Terms pop-up menu identifies the method of payment. When entered on the customer’s record, it is automatically transferred to any invoice created for the customer. Use the Edit feature to make changes to the Terms field. (E.g. Cash only) The Terms list in the Contacts file and Invoice file are independent of each other. Changes made to this pop-up menu will not appear in the Terms list of the Invoice file and vice-versa.
4. Record whether the person receives a retail tax exemption on purchases. The exemption must be applied here in order for it to take effect on an invoice or to be auto-filled on a work order. Two fields are supplied for multi- tax jurisdictions. The Tax Heading fields can be set up in Main Menu > Set Up Data. The check box will auto-fill as soon as a number appears in the Tax Exemption field. The number can be added, changed or removed, however it will not affect any previously created work orders or invoices. (The modification will appear in all of the customer’s records.) The tax exemption will only be applied to records when the customer is entered AFTER the exemption has been entered in their record. The exemption is not retro-active to previously created orders and invoices.
5. Expiry Date applies to the date on the government certificate, enter MM/DD/YYYY, if applicable.
6. Record if you have the tax exemption certificate on file as proof or if you need to do some follow-up. The Status of Exemption can be identified as: Certificate on File, Pending or Followup.
7. Print Shipping Labels takes you to a dialog box in which to chose the starting position for the label.
8. Print Shipping Label (Full Sheet) allows for printing an 8.5 x 11" label with your return address included.
9. Copy Contact Info to Shipping Info button is a quick entry feature for duplicating the address.
