How do I track my donation of retail products to charities?

1. In the Invoice file, create a New Invoice using the button in the upper right.

2. Add the product from the Search Item button.

3. Add another line item with Qty = -(negative) amount.

4. In the Description field, type something like "Donated to..." . Make sure the Unit Price is the same.

5. Do not enter a payment.

If you are donating more than one item, copy the subtotal price into the donated line item Unit Price. The subtotal should be zero. Make sure you are not paying the tax. In the Note field you may want to make a more detailed description of to whom and why, etc.

By ensuring that the Category on the Invoice always has “Donation” entered in the donation line, you will be able to track your donation dollars on your Sales Reports.

TIP: Create a record in the Product file with the item number as, “donate” (or your own code) with the Description “Company Donation” or “Donated to...” and create the Category “Donation”.

Now, when you need to enter the donation on an invoice, you can enter it like any other retail product by typing in the word “donate” in the Item Number field. It will automatically enter the Category and Description. You will need to manually fill in the Qty and Unit Price on the invoice.
